Top 10 Tips for New Toyota Halo Customers

Starting with Toyota Halo is straightforward, but a few key things will help you get the most out of the platform from day one.

1. Halo is a subscription service

Toyota Halo operates on a subscription model with subscriptions automatically rolling over until you cancel them. Vehicles must be actively subscribed before they appear in the platform and begin reporting data. Only you can subscribe your vehicles to Halo – Toyota cannot do this for you.

2. Your organisation manages Toyota Halo

Halo is a self-managed platform. Your administrators control vehicle onboarding, subscriptions, user access and ongoing account management. System Administrator access for your Toyota Halo account is required for many setup tasks and is provided to the person who established your Halo account, or anyone who is approved access by a current System Administrator of your account.

3. Make sure vehicles are compatible

Before onboarding a vehicle, confirm the vehicle is Halo-compatible and has the required telematics hardware installed (where applicable) by reviewing our compatibility guide. You’ll also need the vehicle VIN to onboard.

4. Use Subscription Groups wisely

Subscription Groups determine how vehicles are organised and invoiced. Vehicles within the same group can be billed on a single invoice, which helps simplify administration. Before creating a new subscription group, ensure you are happy with creating a new invoice. If you want to merge into an existing invoice, you should select from a saved subscription group when subscribing your vehicles. For more information, read our guide on subscribing vehicles.

5. Choose the right plan

Most customers use the Fleet Management Plan, which provides full access to the Halo web and mobile platform. A Data Feed Plan is also available if you only want Halo data sent to another fleet management system. Be careful which plan you select when you onboard your vehicles, because if you select the wrong plan it can take some time to fix. For more information on Toyota Halo plans, click here.

6. Understand your payment options

Subscriptions can be paid via:

  • Credit Card – [Most Popular]
  • EFT/invoice – be careful with this option, as failure to pay overdue invoices will result in Toyota Halo access being revoked.
  • An approved Fleet Management Organisation (FMO) or dealership arrangement

7. Get familiar with the Invoice Portal

The Toyota Halo Invoice Portal is your self-service billing hub. You can:

  • View active and cancelled subscriptions
  • Update billing details
  • Manage payment methods
  • View and download invoices
  • Pay outstanding invoices

8. Vehicles connected to Toyota Connected Services will not work in Halo

If your vehicle is subscribed to Toyota Connected Services via the myToyota Connect app it will not work in Toyota Halo until your Toyota Connected Services subscription is cancelled for that vehicle.

Make sure you don’t have any active Toyota Connected Services subscriptions on vehicles you’re intending to subscribe to Toyota Halo. For help or questions, email toyotahalosupport@toyota.com.au.

9. Don’t expect instant vehicle visibility

After activation, vehicles require two ignition cycles before they begin reporting active location data in Halo.

If your vehicle has been activated on Toyota Halo and the ignition has been cycled twice, and it is showing as ‘Not Deployed,’ it is likely that your vehicle is subscribed to Toyota Connected Services (see point 8 above) and therefore won’t work in Toyota Halo. Please contact toyotahalosupport@toyota.com.au for support if this is the case.

10. Save the support resources

Toyota Halo provides online help guides covering onboarding, payments, invoicing and account management. If you need assistance, read our help guides or contact toyotahalosupport@toyota.com.au.
