This process should be followed if the Dealer or FMO has agreed to pay for a significant number of the customer’s Toyota Halo vehicles over an extended period of time.
This guide will help the customer to subscribe the vehicles correctly on Toyota Halo. It requires input from both the customer and the Dealership/FMO.
This process must be followed every time a new vehicle is subscribed to Halo and someone other than the vehicle owner will be responsible for payment.
PART 1 – Customer Account
To be done by the customer
- Customer to log in to the customer’s Toyota Halo account.
- You should see the activation screen, as below.
- If you don’t see this, in the top menu, go to ‘Subscriptions’ and select ‘Activate’.
Step 1: Select Vehicles
- Search by VIN and select the vehicles requested for subscription.
- If any VINs are missing, please email the details to toyotahalosupport@toyota.com.au.

Step 2: Usage Type
- Choose ‘I’m Managing’ (since the customer intends to track their vehicles on their own customer account).
- Note: Please do not choose from a saved subscription group for the nomination to work.

Step 3: Subscription Plan
- Select Fleet Management Plan.

Step 4: Payment Responsibility
- Under ‘Someone else is paying’, select Fleet Management Company.
- Then choose the Dealership or FMO that will be paying. If it does not display here, ask your Dealer or FMO to contact Toyota Halo Support to get this setup in the system.

Step 5: Finalise Subscription
- Update the default subscription group title if needed.
- Accept the Terms and Conditions.
- Click Confirm.

These vehicles are now nominated for payment by the Dealership or FMO.
Please be sure to let your Dealership or FMO know that you have just nominated vehicles for payment, so that they can go in and complete Part 2 of this guide (the vehicles won’t show in Halo until Part 2 is also completed by the Dealership/FMO).
END OF PART 1
PART 2 – Dealership or FMO Account
To be done by the Dealer/FMO
- Log in to the Dealership/FMO Toyota Halo account.
- You should see the activation screen, as below.
- If you don’t see this, in the top menu, go to ‘Subscriptions’ and select ‘Activate’.
Step 1: Select Vehicles
- Select the nominated vehicles. Vehicles that the customer has nominated the dealership to pay will appear in the list.
- Be sure to pay attention to the top-right-hand box in red. This will either say “New” or “Payment”
- If it says “New” – you are about to activate vehicles for tracking on the Dealership/FMO Toyota Halo account. You probably don’t want to do this.
- If it says “Payment” – you are about to activate vehicles for the customer’s Halo account. You pay, the customer sees the tracking on their account.
This is probably the one you want to lookout for. If you don’t see “Payment” here when expected, let Toyota Halo Support know before you activate a vehicle on “New”.
- Click Activate — this will skip directly to Step 4.
- Be sure to pay attention to the top-right-hand box in red. This will either say “New” or “Payment”

Step 4: Choose Payment Method
- [Most Popular] ‘Select Payment Group’ if you have already gone through this process at least once. This will apply the same payment settings you have established previously, and merge the invoicing of these new vehicles with any other previously subscribed vehicles so you only receive 1 invoice total when the subscription rolls over.
- Credit Card: Automatic monthly deduction to your nominated credit card. This will create a new seperate invoice when the subscription rolls over.
- EFT: Pay via invoice issued over email. This will create a new seperate invoice when the subscription rolls over.
- If you select EFT you can choose your payment term. Either 1 month, 3 months, 6 months, 12 months, 2 years, 3 years or 4 years.
- Note: Invoice terms are 30 days after month end, and you will be required to share remittance with accounts.receivable@toyota.com.au.

Step 5: Confirm Subscription Term
- Choose Fleet Management – 12-month payment term.
- Click Confirm.

The customer’s vehicles are now subscribed. Tracking will begin once each vehicle registers 2 ‘Ignition On’ events.
